What information do we collect, and how do we use it?
Staff Members and Job Applicants
We collect:
◦ Name, date of birth, address, contact details
◦ Right to work documents (passport/visa copies)
◦ Employment history, CV, references
◦ Bank details, National Insurance number (for payroll)
◦ Health conditions/disabilities relevant to the role
◦ Criminal record information (if applicable to role)
◦ Emergency contact details
◦ Training and appraisal records
◦ Absence and disciplinary records
We use this data to:
◦ Assess suitability for employment
◦ Manage contracts and pay wages.
◦ Meet legal requirements and ensure health and safety
◦ Support training, performance, and HR matters
How long do we keep it?
If employed, your records will be kept for the duration of employment and in line with our retention policy (usually up to 6 years post-employment). If not hired, application data will be retained for 12 months unless you ask for earlier deletion.
Clients and Business Contacts
We may collect and store:
◦ Names, job titles, phone numbers, and email addresses of client contacts
◦ Business correspondence or service agreements. This is used to manage contracts and coordinate service delivery. We keep this information while you are an active client and for a reasonable period afterward unless requested otherwise.
